To ensure that we take all possible measures to get your membership cards to you, we started using the registered letter format three months ago.
After a card is posted to the postal address on the member's application, an email (using the email address as indicated on the membership form) is sent to each individual member containing their tracking number.
I tag these emails to ensure they do not bounce and in the event that they do, I call the member to confirm the correct address and adjust our records accordingly.
The following info is included in the email:The registered letter tracking number is RD xxx xxx xxx ZA.We have taken this precautionary measure to ensure that even if SAPO is delayed in getting your slip to you, you do not have to wait to collect your card - the tracking number and ID is sufficient to collect the card, just as the white slip and ID would be, so either way, you as the member are not at a disadvantage.
You can track it’s progress online at https://sms.postoffice.co.za/tracking/parcel.aspx or by calling the SAPO Call Centre (which are surprisingly efficient) on 0860 111 502.
Please note that it takes SAPO between 24 & 48 hours to update their system with your tracking number and that the letter will take between 4 to 8 days to reach you.
Once SAPO has confirmed letter arrival at your local post office, you can use this tracking number to collect without having to wait for a white slip.
While we have not yet "lost" a card in the SAPO system since starting this, we have unfortunately received the first 5 returned letters as "uncollected items" from the post office. (even though the email has been sent & address details are correct against the membership form)
What we will be doing with these unclaimed letters from now on, will be notifying the member by email that is has been returned and offering for them to either collect from us, or to repost at the member's cost (R30). It is an unfortunate measure to have to take and I hope that you will understand the need for us to handle it this way.
I do not feel that it is necessary to post a list of returned items on the forum, as this might be embarrassing or offensive to the members concerned, so I will handle all of these "behind the scenes" with as little discomfort to all concerned.
